Formatting Instructions - Microsoft Excel
Open a new file in MS Excel or any other comparable spread sheet software. Once your new file is open, please save it and then follow the directions below.
Step One: Setting up your headings
Column A1 – Type: Guest Name
Column B1 – Type: Street Address
Column C1 – Type: City
Column D1 – Type: State
Column E1 – Type: Zip Code
Column F1 – Type: Country
Column G1 – Type: Inner Envelope
Your complete heading row should look like this:
Guest Name Street Address City State Zip Code Country Inner Envelope
Step Two: Entering your first guest
In Column A2: Place the title and name of the recipients here. -If you have two recipient names, place them here as well. When typing two names in the same cell where the names need to be on separate lines, type in the first name, hold down the alt key, then hit enter. This will allow you to type the second name below the first in the same cell.
In Column B2: Place your street address here. -Include an Apartment number or Suite here as well separating with a comma.
In Column C2: Place the City here.
In Column D2: Place the State here.
In Column E2: Place the Zip Code here. -On formal invitations, only the 5 digit zip code is used. Do not use the Zip+4
In Column F2: Place the Country here. -Only fill in this field if the Country is other than US. -Spell out the name of the country in full. -Do not use all upper case letters.
In Column G2: Place the inner envelope information here. -Write the name exactly how you would like it to appear on the inside envelope. -Children should be written on the line under their parent’s names. -When typing two names in the same cell where the names need to be on separate lines, type in the first name, hold down the alt key, then hit enter. This will allow you to type the second name below the first in the same cell.
Step 3: Continue entering the rest of your guest list. When you are done with a guest, go to the next row and enter the information for the next guest.
Please do not number each entry or give us any other kind of information other than names and addresses. When your list is complete, save the file then attach it to an email and send it to us. If you do not have access to email you can copy the list onto a disk and mail it to me. Any list sent in any other format, e.g., computerized address book, handwritten, typed or by mail or fax, will incur a $0.25 per name surcharge as it will need to be retyped. Please allow a few extra days for processing a list not sent by email or disk.
